New to public tenders? Plain-English guide to this page
- Framework
- An agreement that sets terms for work the buyer may order later, often from several suppliers. The value shown usually covers the whole agreement, not one job.
- Open for bids / closing date
- You must submit by the closing date and time, normally through the buyer's own online portal. Late bids are normally refused.
- Clarification questions
- A deadline for asking the buyer questions about the tender. It is earlier than the closing date.
- Conditions of participation
- What the buyer asks suppliers to show before they can be considered, such as experience, insurance or accreditations.
- Bids are scored on
- How the buyer will compare bids, usually a split between price and quality. A 60/40 split in favour of quality means the cheapest bid will not necessarily win.
- Lots
- A tender can be split into parts. You can often bid for only the lots that suit you.
- Area (ITL)
- The buyer names an official statistical area for where the work is, not a street address. Check the tender documents for the actual sites.
- UK4 and other notice codes
- Official codes for the type of notice. A "tender notice" means bids are being invited.

Description
The successful Supplier will be required to provide cleaning services for Cotham School.
Two sites listed below of the school are included in the tender, and we are seeking tender submissions for the whole contract.
Cotham School has an excellent reputation in Bristol built upon its results and student performance ranked one of the best. The successful contractor will be required to deliver a service and meet the requirements of the specification at each site from the contract commencement.
1 - Secondary Schools 1 – Sixth form centre
The process is to be inclusive of the requirements for the following locations:
•Cotham School, Cotham Lawn Road, Cotham, Bristol, BS6 6DT
•Cotham Learning Community, Charnwood House, 30 Cotham Park, Bristol, BS6 6BU
•Stoke Lodge Playing Fields, Stoke Lodge, West Dene, Bristol, BS9 2BH
The contract being tendered is for 3 years in duration from 1st August 2027 until 31st July 2030, with the option to extend for further terms of 1 +1 years on the same terms and conditions excluding the right to further extend. The contract will be fixed price in nature, with the Contractor invoicing the Client for one-twelfth of the annual cost monthly.
Whilst the monthly charge will represent one-twelfth of the contract cost, a reconciliation will take place monthly to reconcile the actual hours worked within the contract. If the hours worked are less than those budgeted a credit will be required by the schools. This credit will be calculated by dividing the annual contract cost (fixed cost) by the number of annual input hours to arrive at a contractual cost per hour, this will then be multiplied by the number of hours due to arrive at the fiscal credit.
The Trust requires that the tendered number of hours are always worked, and the successful contractor is expected to have a system in place to cover for both planned and unplanned leave.
The basis and rationale that the Client requires is for the successful contractor to operate to always being able to provide a clean school that is fit for purpose and that the Contractor is proactive in the management of the contract, thus ensuring that all output specifications are achieved and that the required frequency of cleans is delivered.
